This Privacy Policy explains how Fieldhouse Inc., a Delaware corporation (“Fieldhouse,” “we,” “us”), with offices at 350 Springfield Avenue, Suite 200, Summit, NJ 07901, collects, uses, and shares information when you use our website and members-only platform (the “Service”).
Information we collect
Profile & application details you provide: name and maiden name, email, phone, profile photo; school and athletic history (university, sport(s), division, graduation year, years competed, position); current city and hometown (including approximate coordinates from address lookups); professional details (job title, company, industry, LinkedIn); Instagram handle; family note, interests, and a short “in your words” line; and any service/business you choose to list.
Account & activity data: login credentials (your password is stored in hashed form), your consent to these policies, event RSVPs, saved opportunities, chat messages, feedback, notifications, and basic product-usage data we use to improve the Service.
Payment data: handled by Stripe. We receive your subscription status and customer/subscription identifiers but do not store full card numbers.
If you connect Google Calendar: an authorization token so we can add Fieldhouse events to your calendar (one-way).
How we use it
To review and verify membership; operate the roster, directory, chat, events, opportunities, and Coaching Staff; process your membership payment; communicate with you (e.g., application and account emails); maintain security; and improve the Service.
Eligibility verification. To confirm that applicants meet our membership criteria, we use automated tools, including a third-party AI service, to help check the athletic background you provide (such as your sport, school, and years played) against publicly available sources. These tools assist our review; a member of the Fieldhouse team makes the final decision on every application.
How your information is shared
With other members: your profile — including name, photo, school, sport, location, professional details, and the contact methods you provide — is visible to other approved members through the roster and directory. Content you post may be visible to members and administrators.
With service providers (sub-processors) who process data on our behalf: Supabase (hosting, database, authentication, file storage), Stripe (payments), Stream (chat), Resend (email), Google (optional calendar sync; location autocomplete/geocoding), Anthropic (AI service used to assist eligibility verification), Microsoft Clarity (product analytics, heatmaps, and session replay, with form inputs masked), and our hosting providers Vercel and Netlify. We may also disclose information to comply with law or protect rights and safety. We do not sell your personal information.
Event media
We photograph and record our events and may use that media (including images in which you appear) for Fieldhouse's marketing and editorial purposes. See the Event Photography and Media section of our Terms for details.
Cookies & local storage
We use essential cookies for sign-in/sessions and during Stripe checkout, and your browser's local storage to save an in-progress application (your password is never saved there) and remember interface preferences. We do not use third-party advertising trackers.
Analytics & session recording
We use product-analytics and session-recording tools (including Microsoft Clarity) to understand how the site is used and where people get stuck — capturing interaction patterns such as clicks, scrolls, and navigation, along with aggregate heatmaps and replays of site usage. We configure these tools to mask form inputs, so the personal details you type (such as your name, email, and password) are not captured in recordings. We use this only to improve the product, never for advertising.
Data retention
Active members: retained while your account is active.
After cancellation: we delete your profile within 90 days, keeping only minimal records needed for legal or financial reasons.
Rejected applicants: retained for up to 12 months.
Payment & financial records: retained for approximately 7 years for tax purposes.
Your choices & rights
You can review and edit most profile information from your account. You may request access to, correction of, or deletion of your data, and account closure, by emailing info@meetfieldhouse.com.
California residents (CCPA). If you are a California resident, you have the right to know what personal information we collect about you, to request its deletion or correction, and to be told that we do not sell your personal information. To exercise these rights, email info@meetfieldhouse.com.
Scope, security, transfers & children
Fieldhouse membership is currently offered to residents of the United States; the Service is not directed to individuals outside the US. We use reasonable safeguards to protect your information, though no system is perfectly secure. Our providers may store and process data in the United States. The Service is intended for adults (18+) and is not directed to children.
Changes
We may update this policy from time to time. Material changes will be posted here with a revised effective date.
